Responsibilities:
- Assist in researching contacts (email/phone numbers) of targeted individuals for Trade/Connect Programme
- Actively phone and reach out to the companies to establish contact and explain the Downtown Design Trade/Connect programme to the potential participants
- Liaise with CRM team on navigating through salesforce and pulling relevant information when necessary
- Assist in the daily review of registrations to upgrade Trade to Trade/Connect
- Be the point of communication for general inquiries and questions sent by email regarding Trade/Connect leading up to the fair
- Liaise with travel department to co-ordinate and finalize the itineraries of the hosted Trade/Connect visitors and manage communication with them
- Co-ordinate and manage the schedule of guided tours for Downtown Design
- Aid in the pre-event coordination for the tours with the tour guides, oversee and manage registrations for each tour
- Learn to fully navigate the Jublia app (meeting platform) dashboard and backend to be able to monitor the activity of the Trade/Connect participants
- Liaise with team and assist in setting up exhibitor and Trade/Connect meetings
- Collect information from Jublia with regards to Trade/Connect member engagement on Jublia, i.e., check how many are logged in, how many have sent meeting requests pre-event
- During event, monitor the participants engagement on Jublia, assist where needed and liaise with Jublia Product Manager in case of technical issues
- Assist in post event tasks such as reports, questionnaire, and database
- Update contacts on salesforce post-fair
The ideal candidate should be able to do the following:
- Be willing to work outside of normal working hours (9am to 6pm) and days (Monday-Friday) during the project if necessary
- Work and organize content proficiently using Microsoft Office (including Word, Excel and PowerPoint)
- Basic knowledge of digital platforms such as Google docs, sheets, and slides
- The role requires a candidate who is confident, enthusiastic, flexible, hard-working, and organized
- Candidate should have a professional demeanor and diplomatic approach
- Excellent communication, writing and research skills are necessary
- Excellent time-management and problem-solving skills
- Capacity for initiative, long-term planning, and decision-making
- Ability to work in a team and under pressure, for long hours when necessary
- Ability to quickly integrate into a new environment and work within the given structure
- Accurate and reliable work
- Calm, well-mannered and always friendly
- Excellent command of English and proficiency in Arabic is preferred
- Relevant experience in assisting and working on large-scale events preferred
